Settlements clean up

When closing the inventory using the average cost model, the number of inventory settlement transactions can grow rapidly due to the fact that all settlement fragments generate a record in the settlement table. In practice it can have an impact on the performance that the numbers of settlements transactions are remarkable high.


The need for detailed settlement information is limited so a functionality to group and / or delete cancelled settlement transactions has been developed.

Under Inventory management/Periodic/Clean up/Inventory settlements clean up a new menu item has been added, Inventory settlements clean up, which can be used to group and delete old and cancelled inventory settlements (cancellations work in the same way as in the earlier version). When you select this menu item, the following dialog appears:

In the field Group posted settlement posted before, a date must be given for how “old” inventory settlements must be before they are grouped. The following relationships should be taken into consideration. When the inventory settlements, which are connected to a purchase order, are grouped, then the inventory closing cannot transfer possible readjustments of purchase orders as further item consumption on the sales order, which has included the purchased item. This means that you should be careful about grouping inventory settlements too close to the current date. It is only inventory settlements which relate to completely closed inventory records that can be grouped.

In the Settlements form, accessed through the Transactions on item form,
grouped inventory settlement transactions contain the text Totaled in the Settlement type field. Moreover, the Transaction field will be filled out with the lot number.

This means in practice that you can no longer see what the items have been settled against from a grouped inventory settlement record, via the Transaction menu item. It should be noted that the summed inventory settlements are normally reconciled against the General ledger module.

In the Delete cancelled settlements posted before field, you can specify a date for when a cancelled inventory settlement may be deleted. All cancelled inventory settlements can, in principle, be deleted whenever you want, if you are willing to accept that the inventory can no longer be reconciled with the General ledger on the date/voucher level. This should be understood in the sense that there will be specific ledger transactions which cannot be taken into account in the inventory settlement form. The General ledger will thus still be summarily correct per account/date.
